Wedding planner, wedding designer or coordinator?

Being a wedding planner isn't just about setting and decorating the table. There is a lot of confusion around the role of a planner, so let's take a moment to clarify things.

Wedding planner, wedding designer or coordinator?

Let me start with a very important distinction: the difference between three roles that can be held by the same person or three different professionals.

The wedding planner manages the budget, selects vendors, reviews contracts, organizes the timeline of the day, logistics, and overall functionality of the wedding.

The wedding designer takes care of designing the aesthetic aspect: concept, theme, color palette, decor, stationery, light design, and visual impact of key moments.

The wedding coordinator handles on-site direction: where guests are, where they move, when activities happen, and supervision of other vendors.

Let's look at a practical example

Imagine you dream of a colorful smoke burst right as you share your first kiss during the ceremony. The planner will find the vendor with the best value for money, the designer will determine the best placement based on the decor setup, and the coordinator will guide where you should stand, where photographers should shoot from, and where guests should not stand so as not to ruin your shot.

Can one single person hold all three roles? Yes, because they operate at different times: planning and design before the wedding, coordination on the wedding day.

How to spot a professional wedding planner/designer/coordinator versus an amateur?

First of all, if someone introduces themselves saying "I am the wedding", run away. A coordinator who, instead of supervising and guiding, starts setting up the dessert table, or doesn't stay at the ceremony to manage guest outflow. A planner who talks about flowers instead of talking numbers with you. A designer who doesn't present a real design project but simply sells you vendors. A planner who sells you a personalized wedding but then exclusively works with the exact same crew of vendors.

So does the wedding planner handle the dessert tables or not?

Setting up tables, dessert stations, buffets, ceremonies, and so forth is the job of decorators and setup crews: it doesn't require planner training. The designer provides them with the project plan, and they execute it. Adjusting the bride's train, checking in guests, guiding or directing pathways is a hostess duty—who are often part of the planner's team or external staff. The coordinator manages these professionals on the event day.

Can a professional photographer also be a wedding planner?

Here I am, finally, explaining why my role is unique in all of Italy and why it represents the missing link in the entire wedding process. If the planner's job is to organize, the designer's is to design, and the coordinator's is to direct, all these roles are often meant to create emotional moments that are, above all, photogenic.

Designing decor without understanding light, framing, and the people inhabiting the space often creates setup scenarios that look great on paper but turn out to be a tragedy in photos, ruining all the design work. Cakes that are too tall, lights that are too dim or too harsh, unflattering shadow plays, fireworks lit from behind trees—these are all things that can spoil both the moment and the photo.

How do I manage the work on the wedding day?

Naturally, I don't work alone: we are a team of people with clearly defined roles. We have coordinators, setup teams, and an expanded photo and video crew so that while I focus on direction and staying close to the couple, my team covers everything else following a well-organized operational plan.
